Refund and Cancellation Policy

How subscriptions, cancellations, and refunds work at WebEvra. Plain language, no surprises.

1. What this policy covers

This policy applies to every paid service we sell:

  • Care plans (Essential $499 / mo, Professional $999 / mo, Enterprise $1,999+ / mo) billed monthly or annually.
  • Migration projects (Drupal 7 to 11, Drupal 9 to 11, Pantheon-to-WebEvra, Acquia-to-WebEvra, WordPress-to-Drupal).
  • Security audits and other fixed-scope engagements.
  • Hourly engineering outside of a care plan retainer.

2. Care plan subscriptions

Care plans are billed in advance, monthly or annually. The billing cycle starts on the day you sign the SOW or activate the plan and renews on the same day each cycle.

2.1 Cancelling a monthly subscription

Cancel any time with 30 days written notice to [email protected]. We continue delivering the plan in full through the notice period. The plan terminates at the end of the next full billing cycle after the notice was received. No partial-month refunds: you keep the full service you paid for through the cycle end date.

Example: you send notice on the 10th of a month with a billing cycle that ends on the 20th. The plan ends on the 20th of the following month. You are not billed beyond that date.

2.2 Cancelling an annual subscription

Annual subscriptions are billed for 12 months in advance at a 10 percent discount versus the monthly equivalent. You can cancel an annual subscription at any time, but the cancellation takes effect at the end of the prepaid 12 month term. You retain access to all plan benefits (hosting, patching, dev hours, support) through the term end date. We do not prorate or refund unused months for voluntary cancellations.

Example: you sign a 12 month term starting January 1 and send cancellation notice on March 15. The plan continues normally through December 31. You are not billed for the next year.

2.3 Refunds for service we failed to deliver

If WebEvra materially fails to deliver a contracted plan benefit (extended downtime past the SLA, missed security patches, dev hours not delivered) and we do not remediate within 30 days of written notice, you are entitled to a prorated refund of unused subscription value. The SOW or MSA specifies the SLA terms and refund mechanics for your engagement.

2.4 Plan tier changes

You can upgrade or downgrade at any time. Upgrades take effect immediately and are billed prorated for the remainder of the cycle. Downgrades take effect at the start of the next cycle. No refunds are issued for downgrade differentials.

4. Migration projects and other fixed-scope engagements

Migration projects, security audits, and similar fixed-scope work are billed as a fixed price agreed in the Statement of Work. Typical structure:

  • 50 percent on signature, before work begins.
  • 50 percent on delivery acceptance.

Cancellation by client before work begins: 100 percent refund of the signing payment, less any documented hours already spent on discovery or audit.

Cancellation by client after work begins: we invoice for hours actually delivered to date and return the unused portion of the signing payment within 14 days.

Cancellation by WebEvra: if we cancel for reasons within our control, you receive a full refund of any unspent payment plus credit toward an alternative engagement.

5. Hourly engineering outside a retainer

Hourly engagements are billed in arrears for hours actually worked, in 30 minute increments, with a written timesheet. There is no refund mechanism because there is no advance payment.

6. How to request cancellation or a refund

Email [email protected] with the subject line "Cancellation request" or "Refund request" and the engagement reference. We acknowledge within 1 business day and confirm the timeline within 5 business days. For care plan cancellations, the 30 day notice period or 12 month term end date governs when service stops.

7. What happens to your data on termination

When a care plan or migration engagement ends, we deliver a clean export of your codebase (Git repository), database (compressed dump), file uploads, and any infrastructure documentation we created. Our copies of credentials and backups are deleted within 30 days of the termination date, unless legal or contractual retention obligations apply.

8. Disputes

If you disagree with how we have applied this policy in your case, write to [email protected] with the details. We respond in writing within 5 business days. If the dispute is not resolved by direct correspondence within 30 days, the SOW or MSA jurisdiction (Lucknow, Uttar Pradesh, India) governs further proceedings.

9. Changes to this policy

We may update this policy with notice on this page. Changes take effect 30 days after publication. Active engagements are governed by the policy in effect at the time the SOW or MSA was signed, unless both parties agree to adopt the updated terms.
